Argos is a custom Excel Workbook I created that helps several teams track and maintain hundreds of courses each semester. What started as a simple data repository quickly grew into a suite of useful tools for every member of the ID team: Specialists, Supervisors, and Managers can complete everyday tasks faster with Argos.
Read on below to learn about the different features of Argos.
Above all, Argos is a course tracker. It displays every ID's course, the copy status of that course, and course identification info (course code, instructor, modality, etc). Users can log each course’s Ally accessibility score, broken link count, various copy checklist items, instructor contact history, and course notes.
Argos is built to handle a whole team's course load, but it's just as helpful to individual designers looking for a little structure.
A Utility Bar at the top of the sheet provides users with quick access to tools like the Copy Counter, the Search Bars, and the Term Calendar.
Argos is chock-full of micro-efficiencies that save users time, and the Utility Bar is no different. The Search Bars have a "jump to result" button that saves users from scrolling through hundreds of rows before they find what they need. The Term Calendar lists what Week Number we're in, and how many days remain until the term starts or ends.
Instead of tediously sifting through different Canvas pages, QuickLinks takes users directly to a specific tool or page within a course. Users choose their destination in one column, and Argos automatically creates a hyperlink for that specific course in the next column.
As course assignments change in the weeks leading up to a semester, finding your exact courses can be frustrating. Argos saves users from that headache. Plus, updating QuickLinks as assignments change is as easy as copying and pasting!
Supervisors at FIU Online need to run frequent Comparison Reports to make sure their course assignments are up-to-date. The existing workflow is tedious and requires use of an outdated program.
Argos has a built-in CompReport, and it takes a fraction of the time. Supervisors just need to open a Salesforce list, highlight the data, click copy, and paste it into CompReport. No matter the change—new instructors, new courses, reassignments, unlistings—Argos will automatically highlight what needs to change.
On the first day of each semester, designers are greeted with an onslaught of accommodation requests from our DRC office. A single ID can see 100, even 200 DRC requests per semester. With Argos, designers can fulfill these requests in half the time—I've counted!
In conjunction with a custom Outlook Macro, Argos extracts all the information users need to accommodate students, provides a QuickLink to the Quiz Extensions page, and lists the course's accessibility score.
Before each semester, IDs need to send course copy requests to each instructor. Argos's Generate Email tools expedite this process by generating a hyperlink that creates an email with all the proper course information: instructor name and email, course name, and semester code. The email even uses a more introductory greeting if the instructor is new to the team!
Alternatively, Argos can extract every unique email in your tracker so designers can send BCC copy requests en masse.
This is just the tip of the iceberg when it comes to Argos. The default version includes even more automations and tools, and every team's Argos is fully customizable to suit the needs of the team. If you have questions or would like a brief demo, please feel free to reach out!
